Year end is almost here and it is time to get your inventory count just right.  While most of the time it is better to do cycle counts throughout the year on fast-moving or high value items, the year-end physical count is often used.  Keep in mind, adjusting inventory effects counts and value and feeds dollars all the way through to your General Ledger.

If you are using LIFO or FIFO inventory valuation methods, before beginning your process in MAS, be sure to clear negative cost tiers.  Below find a Physical Count Process Flow Chart for Sage MAS 90 and MAS 200.

Reasons to Use Micrsoft OneNote to plan a project

What is Microsoft One NoteI ran across this post on the Microsoft One Note blog site and it does a great job explaining what One Note is and some ways you can use it to work together when and where you want.  My favorite part of One Note is that you can review your team members notes, audio video, emails etc anytime!  This keeps the inbox from getting bogged down and allows you to add notes that your partner(s) can review later.  Best of all you probably own this software.  It is included in most if not all of the Microsoft Office Suites.  If you want some quick training, check out our One Note classes.

6 reasons why I used OneNote to plan a project

Michael, my colleague here on The Office Blog, got all excited about the idea and started talking about recording the interview and making a video that could be shared with teachers. The ideas came pouring out of his mouth, and I could hardly keep up. I needed a way to capture this free flow of information, because this project was sounding bigger than I had initially intended. I decided to create a OneNote notebook to plan and track our adventure.

Avoid Procrastination

PeocrastinationProcrastination seems to be a problem for everyone in some area of their life.  Whether you avoid taking out the trash or preparing for a customer meeting, putting off something creeps into our daily lives.  The Study Guides and Strategies website presents a great outline for defining your dragon and then slaying it one small stab at a time. The site writes:

Is your procrastination related to a project?
or is it a habit?

To remedy procrastination:

  1. Begin with one, modest project
  2. Answer these basic questions
  3. Keep the answers before you as you mark your progress

What do you want to do?

    • What is the final objective, the end result?
      It may be obvious, or not
    • What are the major steps to get there?
      Don’t get too detailed: think big
    • What have you done so far?
      Acknowledge that you are already part of the way,even if it is through thinking!The longest journey begins with a first step

Why do you want to do this?

    • What is your biggest motivation?
      Do not concern yourself if your motivation is negative!This is honest and a good beginning.However, if your motivation is negative,

      re-phrase and re-work it until it is phrased positively

    • What other positive results will flow from achieving your goal?
      Identifying these will help you  uncover benefits that you may be avoiding: Dare to dream!

List out what stands in your way

    • What is in your power to change?
    • What resources outside yourself do you need?
      Resources are not all physical (i.e. tools and money),and include time, people/professionals/elders, even attitude
    • What will happen if you don’t progress?
      It won’t hurt to scare yourself a little…

Create a simple “To Do” list
This simple program will help you identify a few tasks, the reason for doing them, a timeline for getting them done, and then printing this simple list and posting it for reminders.

Develop your plan, list

    • Major, realistic steps
      A project is easier when it is built in stages;Start small;Add detail and complexity as you achieve and grow
    • How much time each will take
      A schedule helps you keep a progress chart and reinforce that there are way-stations on your path
    • What time of day, week, etc. you dedicate yourself
      to work. This helps you
      develop a new habit of working,build a good work environment, anddistance distractions (It is much easier to enjoy your project when distractions are set aside.)
    • Rewards you will have at each station
      and also what you will deny yourself until you arrive at each station
    • Build in time for review
      Find a trusted friend, elder, or expert to help you
      motivate yourself or monitor progress

Admit to:

    • False starts and mistakes as learning experiences
      They can be more important than successes,and give meaning to “experience”
    • Distractions and escapes
      Do not deny they exist, but deny their temptation
    • EmotionAdmit to frustration when things don’t seem to be going rightAdmit that you have had a problem, but also that you are doing something about it
    • FantasySee yourself succeeding

Finally, if procrastination is a habit of yours:
Focus on the immediate task and project, and build up from there.  Each journey begins with one step.

Bar Code Solutions I get asked a lot about scanning bar codes.  Nearly everyone that asks: “Can Sage ERP MAS90 or 200 scan bar codes?”  What they usually really mean is “Can I do portable wireless data collection and have it update my quantity on hand when shipping, picking or counting my inventory?”  The answer of course is yes to both but the solution combinations are very different.

Time Management Tips – Organize Your Way

Time Management Tips for FallTime is the resource we all struggle to manage. It is hard to determine what causes us to look up at 12:45 and try to figure how 3 hours have just flown away.  Are there are too many things to do, too many places eating away 15 minute blocks or  do we just saying yes to the wrong things to often?  I think it is probably different for each person.    While we can only cram so much into a day, a quick glance at a list of tips will help us remember our traps.

Although the same tips often appear in many posts item number one “Organize in a way that makes sense to you.” doesn’t get enough attention.  For anyone that is married to or works with an opposite personality type, this is key to remember.  Find the one that you can focus on tomorrow and get back a couple of those 15 minute blocks!

1. SPEND TIME PLANNING AND ORGANIZING.
Using time to think and plan is time well-spent. In fact, if you fail to take time for planning, you are, in effect, planning to fail. Organize in a way that makes sense to you. If you need color and pictures, use a lot on your calendar or planning book. Some people need to have papers filed away; others get their creative energy from their piles. So forget the “shoulds” and organize your way.

2. SET GOALS.
Goals give your life, and the way you spend your time, direction. When asked the secret to amassing such a fortune, one of the famous Hunt brothers from Texas replied: “First you’ve got to decide what you want.” Set goals which are specific, measurable, realistic and achievable. Your optimum goals are those which cause you to “stretch” but not “break” as you strive for achievement. Late last week  Sage Software launched their new On-Line version of Sage ERP MAS90 to the world.  The Sage Software press release describes the offering as a “cloud-based solution of Sage ERP MAS 90 and 200, a fully integrated business management solution. As Sage mentions in their release, this is certainly great news for customers that need to move up from their existing entry-level(think QuickBooks or Peachtree or legacy system but weren’t able to budget the funds to do so.  It also seems like a great solution for any business that doesn’t have the hardware power to run an on-premises solution or doesn’t want the IT headache.   Sage ERP MAS 90 Online is just $169 per month per user and includes most of standard modules.
